You have answered this question before. The wording changes, but the work is familiar: explaining a service, answering a booking question, or following up on an inquiry. You open another blank email and start again.
Start with that task. You do not need to redesign your whole business to try a more useful way of working.
Choose one recurring question
Pick a low-risk question you regularly answer, such as what information a customer should provide when requesting a quote. Write down the facts you can safely reuse: the information you need, how the customer can provide it, and the next step.
Keep confidential customer details out of the exercise. Use fictional placeholders instead.
Give the assistant a clear assignment
Try this original practice prompt:
Help me create a reusable response to a customer asking for a quote. Ask me for the service, the information needed to prepare the quote, and the approved next step. Then draft a concise, friendly email with placeholders for customer-specific details. Do not invent prices, availability, deadlines, or policies. List anything I must confirm before sending.
This exercise is a demonstration, not an excerpt from the book.
Review, then save what works
Check every factual claim. Does the draft ask for the right information? Is the next step clear? Does it sound like your business? Remove anything you cannot support.
Save the approved structure. For the next inquiry, fill in the details and review again before sending. A reusable draft is a starting point; it still needs judgment.
Check whether it helps
Compare the time and effort with your usual process. Notice corrections, missing details, and whether customers understand what to do next. Keep the workflow only if it improves the work.
